Check your PDF page order before submitting: a practical checklist

Before you submit a PDF packet, check the downloaded file against the recipient’s instructions: the right documents, the right page order and no accidental omissions. Reviewing the finished file is the step that connects what you intended to send with what you actually attach.

Start with the recipient’s requirements

Check whether the recipient wants one PDF or separate attachments, a particular document sequence, and a stated file-size or page limit. If separate attachments are required, keep them separate.

Make a short list of the documents and expected pages. For example, a one-page cover sheet followed by a two-page request should produce a three-page packet. Use your own requirements rather than treating this example as a submission rule.

Put the pages in order in AlphaPDF

The AlphaPDF merge PDF tool opens your PDFs in an editor with a page rail and a larger preview. Check the allowance and file limits on that page before starting. Export requires an available allowance; opening and arranging pages does not mean an export is available.

1. Choose Select PDF files, select the PDFs for your packet, then choose Open in editor.
2. Review the thumbnails in the left-hand page rail. Click a page to inspect it in the larger preview.
3. Drag a thumbnail by its grip to change its position. For the three-page example, put the cover sheet first, followed by request page 1 and request page 2. Scroll the rail as needed to reach a page’s grip.
4. Check each document boundary: the last page of one document and the first page of the next. Look for missing pages, unintended blanks and duplicate copies. Keep intentional blank pages when the recipient’s instructions require them.
5. Choose Export. For one complete packet, select One PDF, review the quality setting, then choose Export PDF. Save the result when export completes.

One PDF exports every page in its current order. Selecting a few thumbnails does not narrow that mode to those pages. The separate Extract selected pages option is for exporting a selection. Choose the mode that matches your intended result.

Check the file you will actually send

After saving, open the resulting PDF in your reader. Do not rely only on the editing view.

• Count the pages. Compare the total with your document list.
• Read the sequence. Confirm that each source document’s pages stay together in the intended order.
• Inspect readability. Check small text, page orientation, edges, tables and any required fields at a comfortable zoom.
• Check the submission limit. Compare the saved file’s size with the recipient’s requirement. A quality setting is not a guarantee of an exact file size.

A printed page number may restart in each source document. Use the page content as well as those numbers to check the sequence of the complete packet.

Submit the checked copy

Give the final file a clear name that distinguishes it from earlier versions. Select that exact copy when attaching or uploading it. If the submission system provides a preview, inspect it, and keep the submission confirmation when one is available.

This checklist checks assembly and readability; it does not establish that a document satisfies the recipient’s signature, legal or application requirements. Follow their instructions for those requirements.
