How to save Word as PDF before merging documents

Export a Word document to PDF, check its layout and combine it with other PDFs. Includes Windows, Mac and web routes plus a four-page packet example.

Save your Word document as a PDF, open that saved copy to check its pages, then combine it with your other PDFs. AlphaPDF’s merge tool accepts PDF files, so finish the Word export before uploading the packet.

This guide is for a document you can open in Word. Keep the editable original: it is the best place to fix a heading that moved, an oversized table or a page break before you assemble the final file.

Save a PDF copy from Word

  1. Windows: open the document and use File, then Save a Copy or Save As. Choose a folder, select PDF as the file type and save.
  2. Mac: use File, then Save As or Save a copy. Set File Format to PDF, name the copy and save it.
  3. Word for the web: Microsoft documents a File, then Print route; choose the PDF destination in the print dialog and save. For more export controls, use desktop Word.

In Windows export options, check the page range. For a clean reading copy, choose Document rather than the option that includes markup. If the recipient needs tracked changes, make that choice deliberately.

These routes follow Microsoft’s PDF export instructions. Menus vary by version. Renaming a .docx file to .pdf does not convert its contents.

Inspect the exported PDF before merging

Open the actual saved PDF, not just Word’s preview. Compare it with the source document and check:

  • First and last lines on each page: a shifted paragraph can create an extra page or move a heading away from its table.
  • Tables and images: inspect the right edge, captions and small print at a readable zoom.
  • Letters and symbols: check names, currency symbols and any unusual font. Microsoft notes that unavailable embedded fonts can lead to substitution or bitmap text, depending on the export choice.
  • Links you need: open them from the PDF. Microsoft identifies a hyperlink issue with the Mac printing-quality export option.
  • Review content: confirm whether comments or tracked edits belong in the delivered copy.

If the layout is wrong, correct the Word source and export again. Merging is an assembly step; it should not be your method for repairing a bad source export. A four-page packet example

Suppose you are sending a fictional workshop proposal. Your Word file contains a two-page proposal and you already have a two-page venue-information PDF. This is an illustrative planning example, not a measured conversion result.

Your target is four pages in that order. If Word produces a third page containing only a closing sentence, return to Word and decide whether the layout needs correcting. Do not delete that page just to make the count match. If you intentionally keep it, update the packet plan to five pages and move the venue pages to positions 4–5.

Combine the checked PDFs

  1. Open AlphaPDF Merge PDF and select the exported proposal PDF plus the venue PDF.
  2. Choose Open in editor. Arrange the page thumbnails so the proposal comes first and the venue information follows.

  4. Open the download and compare every page with your packet plan. Check the transition between the two source files, not just the total page count.

A correct count can still hide an outdated proposal or a duplicate venue page. Verify the headings and content as well as the order. If an upload fails, use the PDF upload checklist before trying again.

Keep the source and the final copy

Retain the Word original, the checked PDF export and the final combined packet with clearly different filenames. Later corrections should start from the right source version. Review links and any interactive forms again in the final download; existing digital signatures can become invalid when pages are combined.
