PDF hyperlinks not working? Check the source, export and reader

Find where a PDF link breaks, check Office export settings and test the final download with a three-link handout example.

If hyperlinks stop working after you export a PDF, first check the link in the original document, then compare the exported PDF in two readers. A blue, underlined label can survive even when its clickable action does not. Fix the stage where the link breaks before combining or sending the file.

Find out what actually failed

Keep the source document and the first exported PDF. Test a link you recognize and trust; record what happens rather than treating every failure as a conversion problem.

1. Check the hyperlink in the original file

Open the Word document or presentation that produced the PDF. Inspect the link target, not just its visible label. A label such as “Project files” tells you nothing about whether the stored address points to the right folder.

  1. Select or right-click the linked text and open the source app’s link-editing control.
  2. Check the complete destination, including the domain and path.
  3. Test it in the source app. Correct an outdated address there.
  4. If the text only looks linked, insert an actual hyperlink using the source app’s link command.

Microsoft documents the source-link controls in its Office for Mac hyperlink guide. Styling text blue and underlining it is not a substitute for setting a destination.

2. Export a fresh PDF and check the export mode

Use the source app’s PDF save or export route and save a new copy with a distinct filename. Menu labels vary by application and version. Our Word-to-PDF preparation guide covers the basic export and layout checks.

For Microsoft 365 on Mac, Microsoft warns that the Best for printing option can produce PDFs with incorrectly converted hyperlinks. If your app offers an electronic-distribution option, test that export and compare both the links and the appearance. See Microsoft’s PDF export guidance. Do not assume that a print-oriented PDF has retained every interactive element.

3. Test the downloaded file in another reader

Download the PDF rather than relying only on an email or document preview. Open the same saved file in your usual reader and a second PDF reader. If the link works in one but not the other, that points toward a reader or preview difference; it does not prove that every recipient will get the same behavior.

Test a descriptive link label as well as any visible web address. A reader may recognize URL-shaped text automatically, so a working printed address alone is not a complete check of your source hyperlinks.

A three-link check for a project handout

Suppose a hypothetical handout contains three links: “Project files,” a visible website address, and “See Appendix.” This is a troubleshooting example, not an AlphaPDF conversion benchmark.

  1. Check “Project files” in the source document. Confirm it opens the correct folder and that the intended recipient has permission.
  2. Export the PDF and test both external links. If the visible address works but “Project files” does not, inspect the source hyperlink and export settings; do not assume the whole PDF is fine.
  3. Click “See Appendix” and check the actual destination heading. If you later insert a cover page or combine documents, repeat this test on the final download.

If you only have the PDF

Ask the author for a corrected export when possible. Otherwise, use a PDF editor with explicit link-editing controls. Adobe’s Acrobat link instructions distinguish a link’s clickable area from actions such as opening a web page or jumping to a page view. Adding visible text over a broken label does not repair that action.

Check links again after assembling the final packet

When the individual PDFs are ready, you can combine them with AlphaPDF’s Merge PDF tool. Keep the originals, arrange the pages, export one PDF and reopen the download. Test every important web and internal link in that final file. This is an assembly step, not a promise that merging repairs or preserves every link.

Finish with a page-order and readability check. Send the exact copy you tested, with a clear filename so the earlier broken export is not attached by mistake.
