Should you merge PDFs or zip them before sending?

Merge when the recipient needs one document in a set order; zip or send separate PDFs when each file must stay separate. A synthetic test shows why neither option makes PDFs much smaller.

If you have several PDFs to send, merge them when the recipient needs to read one document from start to finish, and zip them when the recipient needs to keep the files separate but you want to send one attachment. If neither applies, separate PDF attachments are often the simplest choice. Do not count on either option to make the files much smaller: in the test below, zipping saved 0.4% and merging saved about 0.6%.

The quick answer by situation

What we tested: the same three PDFs, packaged three ways

We made three synthetic PDFs with no real people or account details: a two-page cover letter, a one-page invoice table and a one-page "site photo" page containing a JPEG image. We then packaged them three ways on October 28, 2026. The image at the top of this article summarizes the result.

PackageFiles the recipient getsSizeChange from separate files
Three separate PDFs3 PDFs (2 + 1 + 1 pages)915,010 bytesnone
One ZIP (standard Deflate, highest setting)1 ZIP holding the same 3 PDFs910,948 bytes0.4% smaller
One merged PDF (AlphaPDF free editor, One PDF, High quality)1 PDF, 4 pages909,610 bytes0.6% smaller

The merged file kept all four pages in upload order, and the text on the letter and invoice pages could still be selected. The photo page was nearly all of the total, and neither ZIP nor merging changed that much. PDF content such as images is often already compressed, so a ZIP usually has little left to squeeze. Your own files will give different numbers, but expect small differences, not a large reduction.

When a merged PDF is the better choice

  • The recipient wants one document. A merged PDF opens directly in a browser or PDF reader. There is nothing to extract.
  • Page order matters. You decide the order once, and every reader sees the same sequence. Check it with the page-order check before submitting.
  • The upload field takes one PDF. If the instructions say "upload a single PDF", a ZIP is the wrong file type even if it contains PDFs.

The trade-off is that the original files are gone from the merged result. The recipient sees pages, not "invoice.pdf" and "letter.pdf". If they need to pull one document back out, they have to split it. Keep your source files until the packet is accepted.

When a ZIP (or separate PDFs) is the better choice

  • Each file has its own job. For example, an invoice goes to accounts payable and a contract goes to a different team.
  • File names carry meaning. A ZIP keeps each original file name. A merged PDF has only one.
  • You have many files. One archive is tidier than twenty attachments.

The trade-offs: the recipient has to extract the archive before reading, which can be awkward on a phone. Some systems also treat archives more strictly than PDFs. Gmail, for example, blocks blocked file types even when they are inside archives such as .zip files, and blocks password-protected archives that contain archived content. A ZIP that holds only PDFs is not one of the listed blocked types, but a recipient's own mail system may have its own rules. If you are unsure, ask the recipient which format they accept.

If the recipient has no preference and you only have a few files, sending them as separate PDF attachments avoids both the extract step and the lost file names.

If the problem is size, packaging won't fix it

Personal Gmail accounts have a 25 MB attachment limit. Above it, Gmail replaces the attachment with a Google Drive link. As the test above shows, zipping or merging usually changes the total only slightly. To reduce size, compress the PDFs themselves and check the saved copy; the guide to compressing a PDF for email walks through counting the whole attachment set. If the readable files still won't fit, a sharing link is the more reliable option.

How to merge the PDFs in AlphaPDF

  1. Open Merge PDF and select your PDF files. The free editor accepts PDFs up to 50 MB each, up to 100 files and 500 MB per workspace.
  2. Click Open in editor. Pages start in upload order; drag them in the page rail to change it.
  3. Click Export, keep One PDF selected, choose a quality setting, then click Export PDF.
  4. Rename the download. In our test the file was saved as 01-cover-letter-edited.pdf, named after the first upload. Give it a name that describes the whole packet before you send it.
  5. Open the result and check the page count and order before attaching it.

A combined export counts once toward the free allowance of three standard exports per device per UTC day. See how the free export allowance works. For a fuller walkthrough, read how to merge PDF files for free.

How to zip the PDFs instead

You don't need a separate tool. Your computer can create a ZIP:

  • Windows: select the files, right-click, then choose Show more options > Send to > Compressed (zipped) folder. The recipient uses Extract All to open it (Microsoft instructions).
  • Mac: select the files, Control-click, then choose Compress. Several items become a file called Archive.zip, so rename it before sending (Apple instructions).

If the recipient instead received a ZIP of split sections from AlphaPDF, this guide explains what's inside a split ZIP download. To understand the editor's One PDF, selected pages and ZIP export modes, see which export mode to use.

Check these before you send

  • The format matches what the recipient or upload page asked for.
  • A merged PDF has the expected total page count. In our example that was 2 + 1 + 1 = 4.
  • A ZIP opens and contains every file, each with a clear name.
  • Fillable forms still show the right answers after merging. The merge page notes that combining documents can change field behavior; see checking answers after combining fillable PDFs.
  • Any digitally signed PDF is still sent as its own original file if the recipient needs to verify it.
